Summary

Austin Staffing, Inc. is hiring an Administrative Assistant who is familiar with marketing and hospitality. This full-time Administrative Assistant position is with our Homebuilder client in Liberty Hill and requires weekend availability. Each day you will provide world class customer service by actively listening and interacting with residents. Each day you will interact with the current residents, prospect buyers, and vendors. As the Administrative Assistant, you will be a source of knowledge for all people visiting and for people planning on visiting. You will become essential for building the foundation of this new community as the Administrative Assistant.

Responsibilities:

• Prepare presentations, reports, memoranda, spreadsheets, maintain records, departmental account reconciliations, maintain and enter information into databases

• Responsible for maintaining all A/V equipment, music systems, copiers, computers, phone systems, presentation boards, and other office equipment

• Make meeting arrangements by coordinating catering, meeting room set up, and on-site events

• Serve as a receptionist by answering phones and routing to the correct department

• Serve as a greeter by welcoming visitors to our welcome centers and placing them with the appropriate employee

• Perform general administrative duties

• Responsible for ordering departmental office supplies

• Responsible for sorting and coding invoices and receipts

• Responsible for fulfilling marketing promotional item orders and maintaining inventory

• Responsible for scheduling staff coverage for welcome centers

• Maintain a pleasant and accommodating attitude with customers at all times

• Provide community presentations to all visitors following scripts and practiced presentation training sessions

• Keep abreast of all selling points of the community and incorporate into sales presentations as instructed

• Assist with visitor and phone caller questions

• Maintain the welcome centers in “showroom” accepted condition at all times

• Manage and book Realtor office presentations and prepare presentation materials

• Assist in event planning and execution

• Maintain and update marketing areas within the site that is decorated according to the season or special events taking place on the premises

• Prepare and deliver welcome totes to new residents

• Assist the Director of Marketing in all Realtor outreach and nurturing activities as directed

• Other duties as assigned

Qualifications:

• High School Diploma or GED

• Past experience in the Homebuilding and Master Planned Development Industry is highly desirable.

• Have a working knowledge of Microsoft Office Suite, Hubspot, Adobe Pro, and familiarity with In-Design is a plus

• Ability to meet performance standards and deadlines

• Effective verbal and written communication skills

• Able to concentrate and focus on detail

• Excellent presentation skills, with the ability to “sell” the community to the public
